Social Media & Electronic Communication Policy
This policy establishes guidelines for appropriate and responsible communication by athletes, parents, coaches, and volunteers of the Bend Swim Club (BSC) using social media and electronic platforms. It is based on USA Swimming’s Safe Sport recommendations and aims to foster a safe, respectful, and professional environment.
Scope
This policy applies to all forms of digital communication, including but not limited to: email, text messaging, social networking platforms (e.g., Instagram, Facebook, X, Snapchat, TikTok), group chat apps (e.g., GroupMe, WhatsApp), video conferencing, team communication platforms, and websites.
General Expectations
All communication should be:
- Transparent – open and observable to others, especially with minor athletes
- Accessible – appropriate and reviewable by parents and/or club leadership
- Professional – respectful in tone, content, and purpose
Guidelines for Athletes
- Refrain from posting content that is hurtful, harassing, discriminatory, or vulgar
- Avoid one-on-one private electronic communication with adult coaches unless another adult is copied
- Report any inappropriate or uncomfortable messages to a trusted adult or Safe Sport representative
- Represent the team positively in all online behavior
Guidelines for Coaches and Adult Participants
- Never initiate private one-on-one communication with a minor athlete (text, DM, call, etc.)
- Always copy another adult (e.g., parent, assistant coach) on any direct communication with a minor athlete
- Use team-approved communication channels whenever possible
- Avoid using personal accounts for athlete communication unless necessary and documented
Violations
Violations of this policy may result in disciplinary action consistent with the Club’s Code of Conduct, MAAPP, and Safe Sport guidelines. Any concerns should be reported to the Head Coach, Safe Sport Coordinator, or Board of Directors.
